Eric Schiffer claims that the majority of project managers ignore the importance of this stage of the project, but this is a mistake. Sure, it is great to improvise as the project advances, and a plan can’t be fully respected. However, with good planning, the duration of the project is reduced, resulting in satisfied customers and efficiency. Planning is based on several documents, and even if the manager can ask one of the employees to gather the respective documents, Eric Schiffer recommends the managers to take care of this stage by themselves.

The project manager has to offer the Statement of Work to the team members, and it must contain all the needed elements for the team members to understand the project. It is the base structure of the whole work, and the manager has to be certain that the tasks are understood before going to the next level.

The SW contains the purpose of the project, primary and secondary objectives, the roles and responsibilities of each member, the final results of the project, the budget and the estimated expenses, and the charts. Eric Schiffer speaks about those charts, stating their importance, especially for a technical project where facts and numbers are mandatory.

The next stage is Project Specifications. Those specifications must be stated separately, as any individual contribution must also be assessed. The values are quantified as man/hour, equipment and materials. Again, we are talking about technical projects, as for the creative ones, the numbers is not that important. In any case, the client must know how the money is spent and the stages of the project, to determine if the performance level expected is reached.

The main stages must follow the initial plan, but if this is not possible, the project manager is responsible for modifying the plan according to the new perspectives. The activities must be clearly detailed, and at the end, the project manager has to present the result to the client.
